The short answer

An AI receptionist can handle configured intake and booking workflows, but it should not invent availability, diagnose hazards or make commitments beyond your instructions. Evaluate the boundaries and fallback process alongside the features.

Start with a bounded job

Give the receptionist a task that has a clear finish: identify the caller’s need, capture agreed details and offer an authorised next step. A broad instruction to “handle everything” leaves too much room for ambiguity. A caller asking for an appointment is different from one negotiating a disputed invoice.

KEDO’s published service workflow covers answering, qualification, booking, notifications and completed-job review requests. Treat those as the starting scope for a discussion about your business. Confirm the specific integration and exception handling you need rather than assuming every possible task is included.

Information quality sets the boundary

The business must supply accurate hours, service areas, accepted work, pricing language and escalation contacts. An agent cannot reliably reflect a new policy nobody has updated. Keep a short source-of-truth document with an owner and a review date. Put variable facts, such as holiday coverage, where they can be checked without rewriting the whole script.

For an unknown answer, use an approved response such as: “I don’t have that detail confirmed. I can record the question for the team.” That protects the next conversation from an unsupported promise made during intake.

Booking requires a real permission model

Knowing that a calendar contains an empty hour is not enough. Does the job fit the technician, location, duration and operating rules? Define what may be booked automatically and what requires review. A diagnostic visit, a quotation and a multi-day project can need different treatment.

Google’s appointment documentation shows that availability is configurable. Check your chosen workflow against actual blocked time and booking limits. The agent should describe a callback as a callback, not turn it into an appointment simply to conclude the conversation.

Keep high-consequence decisions with the right person

Use the receptionist for intake rather than technical diagnosis, emergency assessment or legal interpretation. Ask an appropriately qualified person to define approved wording for situations involving immediate danger. A business callback process is not a substitute for the relevant emergency service.

Complaints, refunds, sensitive personal information and unusual commitments may also require a person. List these explicitly and specify what information is necessary to transfer the issue. Avoid collecting extra details simply because the agent can ask more questions. Your escalation policy should be usable by a human receptionist as well.

Measure the workflow you actually deploy

Track whether records are complete, appointments reach the right destination and exceptions receive follow-up. Review failed or partial outcomes alongside successful calls. A technically connected call does not establish that the customer’s need was resolved.

Before launch, use our task comparison to decide which responsibilities remain with your team. Keep a written fallback and a named owner for updating instructions. The value of automation comes from a repeatable, controlled workflow; it does not remove your responsibility for the service commitments made in your business’s name.
