Avoid the message-taking stereotype
Do not assume that all human answering services merely leave a message. Providers may offer intake, scheduling and record updates. Equally, do not assume every AI plan includes a working calendar connection. Compare the package you are buying, not the category name.

Compare the handoff, not just the voice

Run the same sample enquiry through each shortlisted service. Inspect the message or calendar record afterwards and ask how corrections are saved.
Model your volume fairly
Human services can bill by minutes or calls; AI services can use those units or other allowances. A monthly fee is not a complete comparison until you understand overages. Use your actual busy-month workload, not only a quiet month.
For a hypothetical 120 enquiries, ask each vendor for an itemised quote including intake, transfers and booking. State typical call length and repeat-caller frequency. This is a procurement exercise, not a claim about what those 120 calls will cost at every provider.
When to choose each approach
Remote human answering may fit when callers regularly need flexible conversation and your team wants an operator following a detailed playbook. AI may fit when the intake is repeatable and you want a configured workflow that connects the call to a usable record. A hybrid can keep routine enquiries automated while routing selected cases to people.
- Choose a named owner for script changes.
- Test requests outside the service area and a fully booked calendar.
- Check the process for complaints and requests for a person.
- Compare data retention, access and cancellation terms.
