Define contractor intake before choosing a vendor

A homeowner describing a leaking tap needs a different intake from a commercial maintenance enquiry. Your service should capture enough detail to decide the next action without forcing every caller through a long questionnaire.

Start with name, callback number, job address, service requested and scheduling constraints. Decide which details are required for a booking and which can wait until a person follows up. Avoid asking an answering service to make technical safety judgments it is not qualified to make.

Score each service on contractor outcomes

  • Address quality: does it confirm spelling, postcode or ZIP code and necessary access information?
  • Service fit: does it distinguish supported work from an enquiry you cannot fulfil?
  • Scheduling: does it obey duration, travel and availability rules?
  • Exceptions: does an urgent or unusual request reach the agreed person?
  • Record quality: can your team act on the result without calling back for missing basics?

For each sample call, record the expected result, actual record, corrections required and owner follow-up time. This scorecard is more useful than awarding points for an untested integration logo.

Run a bounded trial and inspect the output

Use a standard enquiry, a wrong service area, an unavailable slot, a corrected address and a request for human help. Test the fallback when your nominated person cannot answer. Get explicit confirmation of the calendar or CRM connection you need.

Keep the existing process available during the trial. Review early records before expanding the workload, and nominate someone to maintain business hours and service rules.
